1. Introduction

These Terms and Conditions govern the relationship between Tailored Asia Tours (hereinafter referred to as “we”, “us”, or “the Company”) and any person (“you”, “the Client”) who books or enquires about travel services through our website, email, phone, or any other communication channel.

Tailored Asia Tours is a trading name registered in the United Kingdom. By making a booking with us, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.

2. Booking & Confirmation

A booking is confirmed when we receive your signed booking form and the required deposit payment. Upon confirmation, a contract is formed between you and Tailored Asia Tours subject to these Terms and Conditions.

The person making the booking (“lead passenger”) must be at least 18 years of age and is responsible for making all payments due and for ensuring that all passengers in the party are aware of and agree to these Terms and Conditions.

3. Pricing & Payment

3.1 Pricing

All prices quoted are per person unless otherwise stated and are based on exchange rates, hotel rates, and transport costs at the time of quotation. Prices may be subject to change until a deposit is received and a booking is confirmed.

3.2 Deposit

A deposit of 20% of the total trip cost (or such other amount as may be specified) is required to confirm your booking. Certain services may require a higher deposit or full payment at the time of booking due to supplier requirements.

3.3 Final Payment

The balance of the trip cost is due no later than 8 weeks (56 days) before the departure date. For bookings made within 8 weeks of departure, full payment is required at the time of booking.

3.4 Payment Methods

We accept payment by bank transfer and major credit/debit cards. Details for payment will be provided on your booking confirmation.

4. Changes & Amendments

4.1 Changes by You

If you wish to make changes to your confirmed booking, please contact us as soon as possible. We will do our best to accommodate your request, but changes are subject to availability and may incur additional charges from hotels, airlines, or other service providers.

4.2 Changes by Us

In the unlikely event that we need to make a significant change to your itinerary, we will notify you as soon as possible and offer you the choice of accepting the amended arrangements, booking an alternative trip of comparable standard, or cancelling with a full refund.

5. Cancellation

5.1 Cancellation by You

If you need to cancel your booking, please notify us in writing as soon as possible. The following cancellation charges apply based on the date we receive your written cancellation notice:

  • More than 60 days before departure: loss of deposit
  • 42–60 days before departure: 50% of total trip cost
  • 28–41 days before departure: 75% of total trip cost
  • Less than 28 days before departure: 100% of total trip cost

5.2 Cancellation by Us

We reserve the right to cancel a trip in exceptional circumstances such as force majeure, government travel advisories, or insufficient bookings. In such cases, you will receive a full refund of all payments made.

6. Travel Insurance

It is a condition of booking with Tailored Asia Tours that you obtain comprehensive travel insurance that covers medical expenses, repatriation, cancellation, loss of baggage, and personal liability. Your policy must cover all activities included in your itinerary. Proof of insurance may be requested.

7. Passports, Visas & Health

It is your responsibility to ensure that you hold a valid passport with at least 6 months validity from your planned return date, and that you obtain any required visas and vaccinations. We can provide guidance but are not responsible for any issues arising from incorrect or expired travel documents.

8. Our Liability

Tailored Asia Tours acts as an agent for the service providers (hotels, airlines, tour operators, transfer companies) who supply the components of your trip. We accept responsibility for ensuring that the services we arrange are delivered to a reasonable standard. However, we are not liable for any injury, illness, death, loss, damage, or expense caused by the acts or omissions of any third party not connected with our services, or by circumstances beyond our reasonable control (force majeure).

9. Complaints

If you have a complaint during your trip, please inform our local representative or contact our 24/7 support line immediately so that we can attempt to resolve the issue. If you are not satisfied with the resolution, please write to us within 28 days of your return, and we will investigate and respond within a reasonable timeframe.

10. Data Protection

Your personal data will be processed in accordance with our Privacy Policy. By making a booking, you consent to the processing of your personal data as described therein.

11. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the United Kingdom. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
